Historically, EDI software was installed on an on-premise server. As cloud-based systems have become more popular many companies choose to move their EDI system to the cloud instead. The choice is yours as your EDI will process the same in either location.

EDI in the cloud means that you rent space from a provider such as Amazon Web Services (AWS) or Azure and then install your existing EDI system there.  Moving EDI usually occurs when the ERP and other business applications move to the cloud. This alternative is similar but different from moving to a Software as a Service (SaaS) EDI system or a cloud based business application.

What’s the Difference Between Cloud-Based and SaaS?

Cloud-based EDI systems are software that you own that are installed in the cloud. For example, BizLink can be purchased from OpenText and installed in your Azure environment. With cloud-based installations you own the software, the maps, and are responsible for maintaining the system infrastructure. After the up-front cost of purchasing and installing (or moving) the software, the only ongoing costs are annual software maintenance fees. You have total control and potentially lower total cost of ownership (TCO), but more responsibility than in a SaaS environment.

SaaS EDI systems are subscription-based systems that are owned and hosted by a third-party. For example, Cleo Integration Cloud (CIC) is a popular SaaS option. You enter into a contract with the host to utilize their service. With SaaS systems the host owns the software, the maps, and is responsible for maintaining the system infrastructure. Up-front costs are low but there are ongoing costs for the subscription. You have less control and potentially higher total cost of ownership (TCO), but less responsibility than with a cloud-based installation.

When deciding between on-premise, cloud and SaaS it’s important to understand options and responsibilities. Make sure you have clear information about the roles and responsibilities in the system and confirm that they’re a good fit for your business in both the short and long term.
