EDI Challenge

A DCS customer doing Direct Store Delivery (DSD) needed to move to Pay-By-Scan for Wal-Mart and Sam’s Club to boost its competitive position and gain experience. DCS assisted by importing point-of-sale data into a Microsoft Access™, creating a comprehensive map producing weekly debit memos, and training customer’s team members for management. The results were readily achievable as they had many years of EDI experience upon which to build.

DCS EDI Solution

The DCS customer now receives Point-of-Sale information daily with the Product Activity Data (852) report. It is processed by Global eXchange Services TrustedLink™ and then loaded into a Microsoft Access™ table. The report contains the quantity sold, returned, and the cost and retail price. The configuration ensured that Retail Link P.O.S. reports are not disturbed.

A comprehensive map linking all fields received was created allowing the customer to receive a weekly debit memo (812) for each store that tells the amount to be paid. The comparison of the cost and retail price is fundamental but done manually. The comparison to the sales data will be done manually as errors are rare. The comprehensive map was based upon the Wal-Mart/Sam’s Club specification. DCS submitted the table structure to its customer for approval prior to mapping.

The DCS customers’ team members include the user managers such as customer service, billing, and I.T. DCS provided an EDI Specialist with guidance from the Professional Service Manager who worked remotely with the customer. The solution did not disrupt the exchange of any other document.

Results

With a successful implementation outcome, both source and object code is provided by DCS so the user can make changes as customers are added and newer versions of the EDI documents evolve. There is no extra charge for source code and DCS does not require a retainer or annual maintenance fee. DCS guarantees to provide production down trouble shooting same day service. This project was completed within 15 business days of authorization.
