From Manual to Seamless: How DCS Modernized EDI for a Major Sunglass Brand

The Challenge

A well-known manufacturer and importer of sunglasses — selling through specialty retailers, department stores, clothing chains, grocery outlets, and discount stores — was facing a defining moment. As the company moved to Oracle E-Business Suite, leadership saw an opportunity to eliminate a longstanding bottleneck: a manual, labor-intensive EDI process that was slowing order fulfillment, increasing the risk of errors, and limiting their ability to serve major retail customers at the speed modern supply chains demand.

The Solution

Mapping and Integration

DCS took a structured, phased approach to the integration, performed the work efficiently and completely, without cutting corners. The first priority was building the maps to connect their existing TrustedLink system to Oracle E-Business Suite’s EDI Gateway. For inbound Customer Purchase Orders, DCS used the mapper’s advanced extended rule formula builder to reformat trading partner data to Oracle’s precise field specifications. As every retail customer defines EDI fields slightly differently, it is critical to have accurate mapping as a field mismatch means a failed transaction. DCS’s deep familiarity with both platforms meant these mappings were built right the first time, and a single comprehensive inbound map was designed to work across all trading partners — avoiding the cost of building separate maps for every customer.

Testing

DCS ran rigorous testing of all transaction flows, submitting inbound test files to the Customer Service team for approval and outbound test documents to customers’ test mailboxes — ensuring real invoice payments were never disrupted during the validation process.

Archiving Scripts

A less visible but critical contribution DCS made was to set up archiving scripts for both inbound and outbound transactions within TrustedLink. Prior to this, the system had a tendency to lock up under load. By configuring proper archive processes, DCS eliminated that instability — giving the operations team a platform they could actually depend on.

Training and Handoff

Once automated, DCS trained the Customer Service Department to handle daily operations — shifting their role from manual data entry to exception management and troubleshooting. This is what process automation is supposed to deliver: freeing skilled people to focus on value-adding work rather than repetitive data handling.

The entire integration — from kickoff to trained users — was completed in three weeks.
