Telecommunications Distributor Struggles With Exploding Volume
EDI Challenge
This DCS Customer needed to streamline mission-critical EDI processes to handle volumes over 10,000 documents per week. Although inbound PO's and outbound invoices were integrated, all other documents were still "Rip & Read". EDI software is Inovis' TrustedLink for WindowsTM.
Solution
DCS implemented turnaround document maps to reduce keying on outbound PO acknowledgements to changes only. DCS also made changes to data entry forms for outbound PO's to simplify keying by entering defaults, calculating totals, and rearranging fields for maximum productivity. Finally, DCS used scripts to automate processes both within TrustedLinkTM and also to call MS WordTM macros and batch files for backups, archiving, off-peak communications, etc.
Result
The Customer has reduced headcount in the EDI department from 7 people to 5 as a direct savings of data entry labor and process improvement. Because data entry has been reduced, errors have also been reduced and their Trusted Link Windows EDI system is running smoothly. DCS expertise with the unique fulfillment processes of the Telecom industry ensured the project was done quickly and most economically. Little support is now needed from DCS, but is quickly available as new challenges emerge.
