Mapping and Integration
Introduction
The true power of EDI is only realized when all inbound and outbound documents are processed in/out of a businesses application system with little to no operator intervention. The tools that provide the means for this model of efficiency are Integrated Maps. DCS can assist with integration, in one of two ways. First, DCS has a vast library of integrated maps that it has created for a majority of the widely used EDI transaction sets and application software.

|
| If the maps exist, DCS could deliver a "turn key" solution in a matter of a day. Secondly, DCS has the ability to create virtually any map to integrate with any flat file layout, in a short period of time, if the map doesn't currently exist.

Overview
When creating an Integrated Map, there are several procedures that DCS goes through to ensure the success of the project. These include but are not limited to the following:
- Contact the Trading Partner - DCS contacts the Trading Partner (TP) to secure a copy of the EDI Guidelines, and to establish a rapport with the TP.
- Analyze the Application System Flat File - DCS will analyze the layout of the application systems flat file to understand the flow of data that the system needs to produce/process a flat file. This is necessary to ensure that a proper layout exists to create an ANSI X12, EDIFACT, or XML EDI document. In some rare instances, intermediary steps may be needed to re-create the output/input file of the application file.
- DCS will create an integrated map based on the TP's EDI Guidelines and the Application Systems flat file.
- DCS will contact the TP to obtain sample data to test the map, prior to implementing the map and testing the communications process. This extra step ensures a smooth testing and implementation process.
- Implement - DCS will install the actual map in the EDI software and will arrange to request and/or initiate an actual test with the TP. Customizing the comprehensive map for each customer occursby setting each required field to "mandatory" to ensure errors are reported.
- Provide training in the use of the map. In some cases, DCS provides development training concurrent to the map development, so that subsequent TPs can be set up without the help of DCS. This self-reliance after the first TP's have been set up, saves development cost. DCS would still be a phone call away if the developers encounter any problems.
Benefits
Process automation lowers the cost of operation and speeds completion of tasks. Here are specific benefits you will gain:
- Lower operating cost through elimination of data entry cost, errors, and repetitive steps.
- Wider fulfillment window through elimination of data entry time and delays.
- Lower operating cost by using the Internet instead of pricey VANs. Greater security by using standardized, federally approved EDI INT AS2 for data transmission.
- Reduce deductions and chargebacks with timely Shipment Notices (ASNs).
- Faster payments when shipping and invoicing are electronic. Funds are transferred directly from the customer to the bank.
- More productive use of staff, which can focus upon challenges instead of process details.
- Automation software can be re-used for multiple purposes:
- Customer service
- Purchasing
- Logistics
- And More
Conclusions
The mapping process can be a very tedious, time consuming and frustrating exercise, for even experienced users. There are several business as well as industry rules/guidelines that need to be adhered to when creating an Integrated Map. DCS GrowTM Development service can expedite the process and ensure a timely, cost efficient solution.
